SUPRA LOCKBOX SYSTEM

CWBR Designated REALTORS® have access to Supra Lockboxes.  The are leased to CWBR and must be returned to CWBR when notified.  DRs may have lockboxes for 130% of their single family listings.

The Supra electronic keybox system provides secure and convenient access to a listed property for the listing agent, showing agent, property appraiser, and home inspector. The keybox is mounted on the door handle and securely stores the property key inside. Authorized agents can retrieve the key by using a personalized, registered app on their smartphone. The Supra eKEY updates daily through an internet or cellular connection. After updating, it can open keyboxes using Bluetooth, so no internet or cell signal is needed at the property.

Supra keyboxes enhance seller security during the home-selling process. Showing agents must schedule appointments and use the Supra eKEY app to access the keybox. Each access is logged, recording the agent’s name, and the time the key is taken and returned. Listing agents can view these logs and set specific hours for keybox access. Supra keyboxes keep listing agents informed of showing activity. Agents can receive alerts when a keybox is opened and closed, eliminating any guesswork about whether a showing occurred or when it ended.

SUPRA  KEYBOX

The Supra keybox works with the eKEY app to securely store property keys. Agents with an eKEY and a confirmed appointment from the listing agent or office can access the keybox to show the property.

It is the responsibility of the Realtor to securely attach the keybox using the shackle, ensuring it cannot be removed. The placement location should be chosen in coordination with the seller for maximum security. Only property keys should be placed inside.

Requesting Keyboxes: Supra keyboxes are owned by Central Wisconsin MLS and are distributed to the Designated Broker only based on the number of active listings. Keyboxes are distributed at a rate of 130% of the active listings, which include only Residential and Duplex. Keyboxes may be requested by the Designated Broker and will be disbursed once the MLS runs an inventory report on that offices listings and then compares the number of listings with the number of keyboxes.

Transfer Keyboxes:  Fill out the Keybox Transfer Form to transfer keyboxes.

Assign a Keybox to a Listing: When at the property, you can open the keybox shackle, choose “Adding on a new listing” as the reason. Enter the house number or MLS number and check the option to add the keybox to your inventory. Tap “Begin” to connect via Bluetooth. Once connected, the keybox will appear under “My Keyboxes.”

Shackle Codes: Each keybox has a unique shackle code that releases the shackle for attachment to a property (e.g., doorknob, railing). Shackle codes are provided with each new keybox. By adding your keyboxes to your eKEY inventory through SupraWEB or the eKEY app, you can easily track and access your shackle codes. You can also obtain the shackle code by contacting the MLS office, cwmls@cwbr.org.

Releasing the Shackle: 

  • Open your eKEY app
  • Select Open Shackle
  • Enter the shackle code for box you are using (Contact cwmls@cwbr.org if you need the shackle code)
  • Select a Reason
  • Tap Begin
  • Push up on Key container (bottom of the keybox) – red light should blink, which indicates Bluetooth has been turned on
  • When eKEY displays “Success!” – hold onto box and push down on shackle, then lift shackle up, out of box (Hold onto box while performing this function as the shackle is NOT attached to box at this point so it may drop.)

Key Container: The key container is accessed from the bottom of the keybox using your eKEY and PIN. This is where the property keys are securely stored. Keys should be placed in the front section of the compartment, marked with a green sticker and bright yellow key symbol. Do not place keys in the back area, which is marked with a symbol showing a crossed-out key.

Only keys should be stored to prevent the container from being jammed. Be sure to return the keys carefully to ensure the next agent can access them without issue.

To access the key container, open the eKEY app, select "Obtain Key," and enter your PIN. Push up on the bottom of the keybox until the red light blinks, indicating Bluetooth is active. Once the app shows “Success!”, push up again to release the key container.

Access Hours: Keyboxes are preset to open from:

  • 6:00 AM–9:00 PM (Central Standard Time)
  • 7:00 AM–10:00 PM (Daylight Saving Time)

If you change the access hours, the keybox will still recognize Central Standard Time. For example, if you set access from 8:00 AM–7:00 PM during Daylight Saving Time, access will actually be from 9:00 AM–8:00 PM local time. To update keybox hours:

  1. Open the Supra eKEY app
  2. Tap “My Keyboxes” (make sure the keybox is assigned to you)
  3. Select the keybox by serial number
  4. Tap “Program Keybox”
  5. Set your desired hours
  6. Tap “Program” at the bottom
  7. Enter the shackle code and connect via Bluetooth
  8. You’ll see a success message once the update is complete

SUPRA E-KEYS

Agents may email cwbr@cwbr.org or call CWBR at 715-693-7325 to set up their Supra eKEY.  Please download the Supra eKEY app and have a credit card available before calling.  Supra will debit the monthly user fee from the keyholder’s credit card.  There is a $50 activation fee debited during the initial set up.

The eKEY is a smartphone or tablet app that allows you to:

  • Access listing keys from a Supra keyboxes
  • Open the keybox shackle to attach or remove it from a listing
  • Manage and view your keybox inventory and update settings
  • Read a keybox to see showing history
  • Receive showing notifications and messages

KEY RECIPROCITY

Each MLS in Wisconsin operates its own separate keybox system. When scheduling a showing for a property listed through a different MLS, don’t assume it will have a Supra keybox or that you’ll have access to it if it does. In Paragon, listings from other MLSs are identified by a two-letter prefix. In WIREX, check the "Data From:" field to see the source MLS.

CWBR has Supra eKEY reciprocity with the REALTORS® Association of South Central Wisconsin (RASCW), REALTORS® Association of Northeastern Wisconsin (RANW), Western Wisconsin REALTORS® Association (WWRA) and the La Crosse Area REALTORS® Association (LARA).  Licensed CWBR members can participate in this program.  Please contact CWBR to set up reciprocity for your eKEY at least 24 hours before using the eKEY in a reciprocal area.

You can check to see other MLS’s for which your eKEY is currently programmed to access by clicking the right arrow (>) next to “Central Wisconsin MLS” within the orange bar on your Supra eKEY app home page.

South Central Wisconsin MLS (SC): We have automatic reciprocity with South Central Wisconsin MLS. Nothing is needed. 

North East Wisconsin MLS (NE): Please complete this form and return to cwbr@cwbr.org, This form requires Broker signature. Please allow at least 24 hours before using the eKEY in a reciprocal area.

Western Wisconsin MLS (WW) and La Crosse MLS: We have reciprocity with both MLS associations. Please contact CWBR to set up reciprocity at least 24 hours before using the eKey.

Metro Milwaukee MLS (MM) and North West MLS (NM): Most agents in both Northwest and Metro Milwaukee MLS use the SentriLock keybox system, not Supra.  Contact the listing agent to request a one-day code for access.

 

KEYBOX ACTIVITY

Agents must assign each lockbox in their Inventory. Whenever an Supra keybox container is accessed, a record of the showing is automatically saved. If you've assigned your keyboxes (using the eKEY app, Paragon, or SupraWEB), you can view showing details (including date/time, agent name, and phone number) by logging into SupraWEB:

• Navigate to the Listings section
• Click on Keyboxes under Quick Links
• Locate the keybox you’d like to review and click the Door icon under the Actions column
• The activity report will appear on your screen, and you’ll have the option to print or email it

Or, if you have the keybox with you, you can use the eKEY app to check its activity. (You’ll need the shackle code for the specific keybox. Contact CWBR if you need the shackle code.)

• Launch the eKEY app
• Select My Lockboxes
• Tap Read Activity
• Enter the Shackle Code for the box you're checking
• If you don't want to add this keybox to your inventory, uncheck the "Add to Inventory" box
• Push up on the bottom of the keybox to enable Bluetooth
• The activity results will be displayed on your screen

 

SINGLE-ACCESS

CWBR is excited to provide ‘Single Access’ feature to membership using the Supra eKEY app. Who can you grant single access to?  You, as the Grantor, are responsible for the person you are granting access.  You can give access to contractors and licensed real estate salespeople outside of the CWBR jurisdiction. There is a $3.00 charge for each use of the ‘Single Access’ feature which will be billed to the agents monthly. Single Access CANNOT be given to clients and/or customers at any time.

To Grant Access from the Supra eKey App:

  1. Click My Lockboxes.
  2. Choose the keybox from the list
  3. Click Grant Managed Access.
  4. Enter the cell phone number of the person who needs access.
  5. Set the desired access date and time. Note: While you can set a limited showing duration, the access window must be at least 2 hours.

Access Grantors (e.g., Listing Agent) - Access is granted to ‘end users’ within the Supra eKEY app under ‘My Keyboxes’.  Click here for video instructions.

End Users (e.g., Plumbers/Contractors etc.)  - Grantors grant property access to ‘end users’ for entry at specific date(s)/time(s). Click here for video instructions. 

 

SUPRAWEB

SupraWEB is the agent website, available at www.supraekey.com. It allows you to perform several key functions, such as obtain an Update Code when your eKEY is unable to update wirelessly, request an Authorization Code, change your PIN, assign keyboxes to listings, and manage your email notification settings for the beginning and end of showings.

To use SupraWEB, you'll need to register and create a user ID and password. During your first login, you’ll be prompted to enter your key serial number (which appears at the top of your eKEY screen), your PIN, and your organization—be sure to select Central Wisconsin from the dropdown list.

SHOWING NOTIFICATIONS

You can set up showing notifications to be sent either to an email address or a phone number via text message. Notifications can be directed to multiple recipients, such as a property owner, team member, or assistant.

SupraWEB gives you the flexibility to enable notifications for all of your listings and keyboxes, or you can choose to receive them for specific listings or keyboxes only. Step-by-step instructions for setting up showing notifications are available both in written and video formats.

Once you’ve enabled showing notifications in SupraWEB, End of Showing alerts will be automatically activated. You’ll receive a notification when a showing ends under the following conditions:

  • The key used to access the box leaves the area after the showing.
  • The key is used to open another keybox.
  • The showing agent confirms the showing has ended via text.
  • A different key is used to open the keybox on your listing.

If none of these events occur within 60 minutes of the start of the showing, you will receive a notification indicating the showing has ended due to a timeout.

REAUTHORIZE YOUR EKEY

If you get a new phone or update your phone’s software, you’ll need to reinstall the eKEY app and go through the reauthorization process. To reauthorize your eKEY:

  1. Download the eKEY app onto your new device.
  2. Obtain an authorization code—this can be requested through the MLS officeSupraWEB, or by contacting Supra Technical Support.
  3. Once you have the code, follow the instructions to complete the reauthorization process. 

 

UPDATING YOUR EKEY

The eKEY app expires daily at midnight and must connect to the Supra network via WiFi or cellular data to update. This usually happens automatically. If it doesn’t update, the app cannot be used to open keyboxes.

If the eKey app is opened and has not synced, the app will automatically try to sync. If it fails, a red “X” will appear over the Update Key button. Tap it to choose:

  • Wireless Update – Syncs with the Supra system
  • Emergency Update – For when no connection is available. Get the update code from
    • SupraWEB (www.supraekey.com) or the eKEY app
    • KIMvoice at 1-888-968-4032 (enter key serial number, PIN, then #)

DEACTIVATING YOUR EKEY

CWBR will deactivate the Supra profile of any keyholder that is dropped from an office roster.  If the REALTOR® is moving to another member office, the keyholder must notify CWBR immediately and the Key will be reactivated at no additional charge. If the keyholder is getting out of the business the Supra Key will need to be unassigned.  A $50 assignment fee will be charged if the key is reassigned.  If the keyholder has an eKEY (smartphone service) and is leaving the business, they must contact Supra at 877-699-6787 to discontinue the monthly debit to the payment type they have on file with Supra.

 

SELLER AUTHORITY REQUIRED

Lockboxes may not be placed on a property without written authority from the seller. This authority may be established in the listing contract or any other written document.  Inclusion in MLS compilations cannot be required as a condition of placing lock-boxes on listed property.

 

DEFECTIVE KEYBOXES

Return any defective KeyBox to the CWBR office immediately! If a KeyBox requires repair due to causes beyond normal wear and tear, the Broker will be charged $90.00 per defective box.

 

LOST KEYBOXES

Lost KeyBoxes should be reported to the CWBR office immediately. There is a $90.00 charge for a lost KeyBox.

 

AUDIT REQUIREMENT

Associations or MLSs shall maintain current records as to all keys issued and in inventory, including registered users accessing lockboxes through applications and software used by mobile devices. There shall be an audit, at least annually, of all keys, whether issued or in inventory. This requirement may be satisfied by a physical inventory or, alternatively, by receipt of a statement signed by the keyholder and the designated Realtor®, broker of record, or, in the case of an affiliate member, by a principal, partner, or corporate officer of the keyholder’s firm, attesting that the key is currently in possession of the keyholder. If, at the time of inventory, a key is unaccounted for, or if a keyholder refuses or is unable to demonstrate that the key is within their physical control, then the key will be considered unaccounted for and any funds on deposit will be forfeited to the association.

Deposits for electronic programmers or electronic keycards which are leased but which can be deactivated within thirty (30) days may be required as a matter of local determination
